Use cases

How Nigerian teams run payroll, cash, invoicing, tax and team access on Business Buddy.

Start the day knowing what needs you

Cash, receivables, payables and filing dates sat in different tabs — and in people's heads. One home screen shows pay runs, overdue invoices, tax drafts and weeks left in order.

Before: Status scattered across Excel, WhatsApp and memory

After: One queue — payroll, invoices, tax and cash in priority order

  1. Sign up — you land on your home dashboard with demo data loaded.
  2. Scan the heads-up strip for overdue invoices, tax dates and cash.
  3. Open items from the action queue — each link goes to the right module.
  4. Use the week view to plan payroll and big outflows.

Run payroll without rebuilding Excel

PAYE, pension, NHF and ITF lived in a spreadsheet. One salary change meant checking every line again. Draft the run, compare it to last month, approve once, and export a bank file the same day.

Before: PAYE rebuilt by hand every month

After: Draft → approve → bank file and payslips the same day

  1. Add employees under Payroll → Team (or use the demo staff).
  2. Pay runs → New draft — salaries and statutory lines fill in automatically.
  3. Compare to last month, then Approve.
  4. Staff get payslips in the employee portal; export the NIBSS-ready bank file.

Invoice customers and track what they owe

Invoices went out as PDFs with bank details typed in by hand. AR aging was another spreadsheet. Send branded invoices with a payment link — card, transfer or USSD — and receivables stay current.

Before: PDF invoices and a separate AR spreadsheet

After: Branded invoice, pay link, and live receivables balance

  1. Trade → Customers — add a customer or pick one from demo data.
  2. Invoices → New — line items, VAT and your bank details on the PDF.
  3. Send the pay-now link (card, transfer or USSD).
  4. Track open and overdue from the customer's payment history.

See where the naira went

Petty cash, transfers and card spend were logged late. The spend map was always a week behind. Log expenses as they happen — cash position and categories update straight away.

Before: Expenses logged weekly in a shared sheet

After: Live cash position and spend by category

  1. Money → Log expense — amount, category and date in a few taps.
  2. Check Cash position for weeks left and biggest categories.
  3. Review the week digest when you want a summary.
  4. Turn on Banking later to match bank lines automatically.

File from drafts, not from scratch

VAT and WHT meant pulling invoices, bills and payroll into separate workbooks every quarter. Draft returns from live books and export FIRS-format CSVs when you are ready to file.

Before: Quarter-end scramble across invoices, bills and payroll

After: Draft return from live data → export when ready

  1. Tax → Calendar — see VAT, WHT and PAYE deadlines.
  2. Open a draft (VAT pulls from Trade; PAYE from approved pay runs).
  3. Review lines, adjust if needed, mark ready.
  4. Export the FIRS-format CSV for filing.

Give access without sharing passwords

Everyone used one login. Nobody was sure who could approve a pay run or export a bank file. Invite colleagues with module scopes — payroll, finance export, money only — and see who changed what.

Before: One shared login for the whole office

After: Scoped access per person with an audit trail

  1. Settings → Payroll access — invite by email.
  2. Pick module scopes (payroll only, money, exports, etc.).
  3. Set approval chains on pay runs and invoices if needed.
  4. Colleagues sign in with a magic link — no password sharing.

Staff get payslips without emailing HR

Payslip PDFs, leave requests and expense receipts filled email and WhatsApp every month. Employees sign in on their phone, download payslips, submit expenses and track leave themselves.

Before: Payslips and receipts over email and WhatsApp

After: Self-service on phone after you approve payroll

  1. Approve a pay run — payslips appear in the portal automatically.
  2. Share the employee portal link: getbusinessbuddy.com/employee
  3. Staff sign in with work email — view payslips and YTD.
  4. They can submit expenses and leave requests for your approval.
