Your staff will not use the portal until you stop answering WhatsApp

The employee app is useless if payslips still arrive as PDFs in the group chat and leave requests still start with “Oga I dey sick.” Adoption is a policy change dressed as technology.

  • Leave and expenses only count when submitted in the app.

Why people ignore the app

Usually one of three: they never got a working invite, login felt harder than messaging you, or nothing bad happens when they skip it. Data cost and password fatigue are real on personal phones. So is distrust — “why does Oga want my details on an app?” You answer that by showing payslips they can verify against their bank alert, not by lecturing them about digital transformation.

Encourage: make the portal worth opening

  • Payslip every month with gross, PAYE, pension, net — they settle arguments themselves
  • Leave balance visible before they plan travel
  • Expense claims with photo receipt — status tracked, not “did you see my message?”
  • Attendance logged for hourly staff — disputes drop when hours are written down

Enforce: change the rules, kindly

You cannot withhold salary because someone did not install an app. You can withhold *workflow*: no portal submission, no approved leave; no portal expense, no reimbursement; hourly pay tied to attendance logged in the system. Write five lines, share in the staff meeting, stick to it.

When they email you for a payslip, send the portal link instead of the PDF. Annoying for two weeks. Normal after that.

  3. Run payroll; payslip email also points to /employee
  4. Managers approve leave and expenses only in the admin app — staff see outcomes in portal

Each employee has a portalActivated flag once they set a password. Today you check that per person on their record. We are working toward an owner view of “who has not activated yet” and reminder nudges. Push notifications for employees are not live yet; email and WhatsApp links carry the load for now.

The portal is also how you get clean data for controls: expenses and attendance in-system feed approval queues and future integrity checks. If staff bypass it, you are back to screenshots and trust games.

Measure the right number

Ignore “app downloads.” Count weekly active staff: opened a payslip, submitted leave, or logged an expense in the last seven days. If that number is zero after month one, the problem is not the UI — it is that WhatsApp still works as a bypass.
